Booking, Cancellation and Delivery  

You must be over 18yrs of age to book one of our bell tents 

The tent and equipment is suitable for 2 adults only 

Delivery is free within 5 miles of GU32 1QA 

Beyond 5 miles delivery can be arranged at an additional cost.  

We will do everything possible to make sure the set-up is at the agreed time but cannot accept responsibility or liability for delays due to road accidents, severe traffic problems or any other unforeseen circumstances.  

Cancellation:   If you wish to cancel a booking once you have paid the initial £50 hire deposit, please notify us as soon as possible. In these circumstances, your initial deposit is non-refundable. 

If you wish to cancel after you have paid the full cost of your hire, you will receive a full refund of the hire fee if you cancel 14 days before the date of your booking.  If you cancel after this time, we are unable to refund you unless we are able to rebook the bell tent for the same dates. The deposit fee is non-refundable.

If this happens, we may offer the tent at a reduced price to encourage a late booking and any money we recover will be refunded to you.   

Southern Bell Tents reserves the right to cancel a booking at any time in which case a full refund will be made. However, we’re not able to accept responsibility of liability for losses or any other cost incurred as a result. 

In the event of extreme weather conditions making it impossible to erect the bell tent such as high winds, lightning and/or torrential rain, we cannot accept any responsibility or liability for losses or other costs incurred as a result. 

In this situation we will work with you to offer you an alternative date, where possible.  

Tent Pitch:  At the time of booking you are responsible for ensuring an adequate space (7m x 7m) and the ground is suitable for the equipment. Your site must be on clean, real grass not Astro turf or paving.

No drains cables or other services should be buried beneath the surface or otherwise concealed. 

The hire charges do not include any making good or repairing of damage to the pitch site. 

We will not refund any monies paid in the event that adequate space or surface is not suitable. 

Please ensure your selected site is not susceptible to bogginess or has poor drainage. Any flooding caused is the responsibility of the hirer.

In the event of heavy rain or strong winds forecast we will discuss with you the suitability of the booking.

Equipment:   Please note that all persons using this equipment do so at their own risk. The person hiring this equipment will be responsible and liable for any damage or injury occurring from, or as a result of misuse or reckless use. 

These guidelines are for the safety of all people using this equipment, and it is the sole responsibility of the hirer to ensure they are always fully adhered to.  The hirer accepts sole responsibility for the safety of all persons using this equipment and agrees to ensure it is always supervised by either you, or another responsible adult and accept full liability for any injury occurring from misuse or reckless use.  Southern Bell Tents cannot be held responsible for any injury caused to anyone using this equipment.   

Tent rules:    

Do not move or re-position the bell tent once it has been set up 

Prohibited:  Strictly not allowed inside or within 2m of the tent: 

Pole dancing   :   Smoking or Vaping  :   Animals   :    Real candles/naked flames    :    High heels  :   Cooking   :    Heaters   :     Urinating in or around the tent 

Please treat the equipment with respect; we expect it returned in the condition you found it.

Any damages or spills must be reported and the cost to repair or clean will be deducted from the damage deposit

A £200 damage deposit will be required on booking and withheld in the event of any damage caused

This will be returned (within a week) of the end of the hire period; once the tent has been vacated, the bedding and/or other equipment found to be in the condition it was hired

Any BBQs and Fire pits are to be positioned at least 3m from the tent. Please ensure that any smoke or embers are blowing away from the tent to avoid burns or smoke damage.   

Force Majeure  While every effort will be made by Southern Bell Tents to carry out any order accepted the full performance of it is subject to variation or cancellation by Southern Bell Tents upon Act of God, War, Strikes, Pandemic, Riots, Lockouts or any other disturbances: Fire, Flood, Storm, Gale and Tempest restrictions on the use of Transport, Fuel or Power, Requisitioning Storage of material or transport or any other cause beyond the control of Southern Bell Tents.
